Service providers and overseas processing
We use third-party services to operate the website and communicate with you. These may include Vercel for website hosting, Payload for content and member data, Neobleu Email and other email providers for communications, Eventbrite for event registration, Google Maps for the map on our contact page (Google may set its own cookies when the map loads), Microsoft services for business communications, and security or analytics providers enabled on the site.
Some providers may store or process information outside Australia, including in the United States and other countries where those providers or their subprocessors operate. Privacy protections in those countries may differ from Australian law. We take reasonable steps appropriate to the circumstances when selecting and working with providers that handle personal information.
When you follow a link to an external service, that service's privacy policy also applies to its handling of your information.
Cookies and website data
Our website may use essential cookies and similar technologies to provide functionality, remember preferences, maintain security and understand website performance. You can control cookies through your browser settings, although disabling essential cookies may affect how the site works.
We may update the website's measurement tools from time to time. We will not describe a tool in this policy as active unless it is used on the site.
Direct communications
We only send newsletter or promotional communications where you have requested them or where otherwise permitted by law. You can unsubscribe using the link in an email or by contacting us. We may still send service messages that are necessary for an application, account, event or other interaction you initiated.
How we protect and retain information
We use administrative, technical and physical safeguards designed to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. No method of online transmission or storage is completely secure.
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, our operational needs, and applicable legal or record-keeping obligations. We then take reasonable steps to delete, destroy or de-identify it.
Access and correction
You may ask for access to personal information we hold about you or request that inaccurate, out-of-date, incomplete, irrelevant or misleading information be corrected. Contact us at hello@ryujinlabs.org. We may need to verify your identity before acting on a request.
In some circumstances the law permits us to refuse access or correction. If that happens, we will explain the reason where required.
Privacy complaints
If you have a privacy concern, email hello@ryujinlabs.org with enough information for us to understand the issue. We will acknowledge and investigate the complaint and aim to respond within 30 days.
If you are not satisfied with our response and the Privacy Act applies, you may contact the Office of the Australian Information Commissioner. Information about making a privacy complaint is available at oaic.gov.au/privacy/privacy-complaints.
Children
Our website and programs are primarily intended for adults. If we need to collect personal information from a person under 18, we will take additional steps appropriate to the circumstances, which may include seeking consent from a parent or guardian.

We may update this policy as our services, technology or legal obligations change. The current version will be published on this page with its effective date.
